Privacy Policy
Effective date: September 21, 2026. This policy explains what personal data Paygoro B.V. (“Paygoro”, “we”, “us”) collects when you use our business account, invoicing, and bookkeeping services, and what we do with it.
Who we are
Paygoro B.V. is registered in the Netherlands and builds financial software for small businesses: a business account and payments, invoicing with online payment collection, a bookkeeping connection, and tools such as the Invoice Finder browser extension. For the personal data described in this policy, Paygoro B.V. is the data controller. We have not appointed a Data Protection Officer (our size does not require one); use the contact details at the end of this policy for privacy questions.
What we collect
We collect information you give us directly, such as your name, email, phone number, and company details when you sign up or use Paygoro. We also collect information generated by using the product: transactions and balances, invoices and receipts, documents you upload, bookkeeping records synced with your ledger, and technical data such as device, browser, and login activity, including for two-factor authentication. The Invoice Finder browser extension sends us only the invoices you choose to download and related task details, such as their source and status; your browsing session and history stay on your device and are never sent to us. Providing your identity and company details is required to open and use a Paygoro account, including for the anti-money-laundering checks the law requires; other information, such as optional profile details, is voluntary.
Why we use it and our legal basis
We use this data to open and run your account, process payments, match transactions and receipts, sync your books, secure your account, and support you. We rely on the performance of our contract with you, our legal obligations as a financial services provider (including anti-money-laundering checks), and our legitimate interest in keeping Paygoro secure and reliable. Where the law requires it, we ask for your consent first.
Who we share it with
We use a small number of providers to run Paygoro, each bound by a data processing agreement and limited to what their service needs: cloud hosting for our servers and database; our regulated European banking partner for the business account, IBAN, and payments, and Enable Banking to connect your external bank accounts under PSD2; Exact Online for bookkeeping sync; Mollie for invoice online payments; Resend for transactional email; and Anthropic for AI-assisted invoice data extraction and the Invoice Finder. We also share data with regulators, auditors, and law enforcement where the law requires it. We do not sell your data.
How long we keep it
We keep personal data for as long as your account is active, and afterwards for as long as Dutch and EU financial record-keeping rules require: generally up to seven years for transaction and bookkeeping records, five years for information used in anti-money-laundering checks, counted from the end of the customer relationship. We delete or anonymise data once it is no longer needed.
International transfers
Most of our providers process data inside the European Economic Area. Where a provider processes data outside the EEA, we rely on the European Commission’s Standard Contractual Clauses or an equivalent adequacy decision to keep your data protected.
Your rights
Under the GDPR you can ask to access, correct, delete, or export your personal data, and object to or restrict certain processing. Contact us to exercise these rights; we will respond within the legal time limit. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Automated decision-making
We do not use your personal data to make solely automated decisions that produce legal or similarly significant effects on you. Where automation, such as AI-assisted invoice data extraction, supports a decision, a person remains able to review it.
